Provident fund registration is compulsory once an establishment employs 20 or more people. ESI registration applies at 10 or more anywhere in India (20 in a few states for certain establishments), for employees earning up to ₹21,000 a month; the Code on Social Security removed the old limit to notified areas. Both can be taken voluntarily below the threshold, and contract staff engaged through a contractor count towards it.
PF covers employees with basic wages up to ₹25,000 a month at joining (the ceiling rose from ₹15,000 on 17 September 2026), with 12% from the employer and 12% from the employee. ESI is 3.25% of gross wages from the employer and 0.75% from the employee. Both are paid, and the returns filed, by the 15th of the following month.
Registration is online, on the Shram Suvidha or the EPFO and ESIC employer portals, within one month of becoming covered for PF and within 15 days for ESI, and there is no government fee. A company incorporated through SPICe+ already has its EPFO and ESIC numbers from incorporation; they stay dormant until the thresholds are crossed, so we check for them before charging you for a registration you do not need.
Why employers hand this to us

What employers get wrong
Registering late
Coverage starts from the date the threshold is crossed, not the date you register. Late PF contributions carry interest at 12% a year under section 7Q and damages under section 14B of 0.25% of the arrears a month for delays up to two months, 0.5% up to four months and 1% after that; ESI charges interest at 12% a year and damages of 1% a month. The employee's share that is deducted but deposited after the due date is also disallowed in the income-tax computation.
A low basic and high allowances
The Code on Social Security, 2020, in force from 21 November 2025, defines wages as basic pay, dearness allowance and retaining allowance, with excluded allowances capped at 50% of total pay. Where allowances exceed half the pay, the excess is added back, which can raise the PF base or pull an employee under the ESI ceiling. Check salary structures before the first return, not after the first inspection.
Forgetting contract staff
People engaged through a contractor count towards your headcount, and the principal employer is liable if the contractor does not pay. Ask contractors for their codes and monthly challans.

After registration
Every month the PF return (ECR) and the ESI contribution are filed and paid by the 15th, new joiners are added within the month, and exits are marked with the date and reason so that employees can transfer or withdraw. Our monthly plan does all of this for ₹999 a month for up to 25 employees.
If you also want payroll, salary TDS and the books handled together, see accounting and bookkeeping, and for state professional tax, professional tax registration.
Frequently asked questions
Is there a government fee for PF or ESI registration?
No. Both registrations are free on the government portals. Our fee is ₹1,999 for one registration or ₹2,999 for both, plus GST, for the applicability check, the filing and enrolling your staff.
When is PF registration mandatory?
When an establishment employs 20 or more people. Below that it can register voluntarily with the consent of most employees.
When is ESI registration mandatory?
When an establishment employs 10 or more people (20 in a few states for certain establishments), for employees earning up to ₹21,000 a month (₹25,000 for persons with disabilities). Since the Code on Social Security, this applies across India, not only in notified areas. Register within 15 days of becoming covered.
My company was registered through SPICe+. Do I need to register again?
No. A company incorporated through SPICe+ is allotted EPFO and ESIC numbers with its incorporation. They stay dormant until you cross the thresholds; we activate them and start the monthly returns instead of charging for a fresh registration.
How long does registration take?
Usually 3 to 7 working days from complete documents, including the digital signature of the authorised signatory.
What does it cost to file the monthly PF and ESI returns?
₹999 a month for up to 25 employees, plus GST, covering the PF return, the ESI contribution, joiners and exits. Above 25 employees we quote in writing.
What happens if PF is paid late?
Interest at 12% a year under section 7Q and damages under section 14B of 0.25% of the arrears a month for delays up to two months, 0.5% up to four months and 1% after that. The employee's share deposited after the due date is also disallowed for income tax.
